Honor should outlive the night.

A Digital Event Program is the program your guests open from a QR code, with the order of the evening, every honoree's story, your sponsors and a way to give, right on the phone that's already in their hand. It comes with a matching PDF program book.

It costs about what printing 300 booklets does, with the design included, a misspelled name can be fixed on the night, and the program is still there the morning after for the honoree who wants to send it home to family.

Event Program $750, Signature Program $1,250, and seasons from $500 per event.

The Keepers Ball is a fictional sample event, and you can open the full program on a phone-sized screen.

What a printed program can't do

A printed program carries a lot of weight for one night, and then a name turns out to be misspelled in 300 copies, the sponsors who paid for visibility get a logo on page 14, the honorees want something they can send their families, and by Monday the booklets are in the recycling bin.

Who it's for

If people hold a program at your event, it can be a digital one, and every card below lists what organizations like yours put in theirs.

Churches

A standing Sunday link that changes every week, with the order of service, hymns and scripture readings, announcements, the pastor's welcome and the giving link, plus full programs for the church anniversary, Easter or a revival.

The Church Program at $199 a month is built for this.

Schools

Concert and play programs with every student's name spelled right, graduation programs with the full list of graduates and honors, and a page for the families and local businesses who sponsor the night.

A Season of 4 covers a school year of concerts, plays and graduation.

Theaters

Cast and crew with headshots and bios, the director's note, scenes and songs, run time and intermission, and your donors and season sponsors, with a new program for every production and one look for the whole season.

The Theater Season of 8 is built for theaters and dance companies.

Cultural centers

Galas, heritage celebrations, exhibition openings and lecture series, with the history behind the evening, honoree and artist bios, the run of show, and a giving link that keeps working after the doors close.

If you host four or more signature events a year, look at the Season of 4.

Nonprofit organizations

Galas, fundraisers and award nights, with honoree stories and photos, the run of show, your board and host committee, a screen for each sponsor, and a give button that works during the paddle raise and long after it.

If you have sponsors to thank, the Signature Program gives each one a screen.

Conferences

The agenda by day and session, speaker bios with links, sponsor screens, venue details, and the PDF for anyone who'd like it offline, and one program covers up to three consecutive days.

Pick the Event Program, or Signature if you have sponsors to show.

Pricing

Printing 300 sixteen-page color booklets runs about $700 to $1,100 before anyone designs them, and they're gone that night. The Event Program is $750 with the design and the PDF already included, and a season brings the price down to as little as $500 per event.

Talk to us

The Founding Ten

The first 10 organizations that book pay list price and keep that price for their next event, and in return we feature your program on this page and you let us tell its story as a case study.

  • Live features, meaning a stage marker run from the booth, audience Q&A and sign-up capture, aren't for sale until they're built and tested, but you can join the Live waitlist.
  • If your content is complete 6 to 14 business days before the event, rush pricing adds 25% to the program price.
  • Express is for content that's complete 3 to 5 business days out, it adds 50%, and we take those one at a time by inquiry only.
  • Every program stays live and interactive for 12 months after the event, then the same link becomes a permanent archive page with the PDF, and if you'd like the full version live longer it's $150 a year, opt-in.
  • You can pay by card or ACH, and we'll send an invoice and a W-9 if your committee needs to vote first.
  • We build a small number of programs at a time and take one event per weekend, so dates go in the order they're reserved.

How it works

  1. Reserve your date

Tell us the event, the date and who approves the purchase, and we'll reply within 1 business day with a payment link or an invoice. Your web address and QR code files come at kickoff, so you can print table cards and signage right away.

  2. Send your content

Everything goes into one shared workbook with the run of show, names and titles, bios, the welcome letter, sponsors and links. It's due 15 business days before the event for an Event Program and 20 for Signature.

  3. Review your proof

Your first proof is a private preview link plus the PDF, and it arrives within 5 business days of complete content. Your approver sends back one consolidated list of changes and we turn each revision around in 2 business days.

  4. Go live

The program goes live no later than 3 business days before the event and stays live for 12 months, and after that the same link turns into a permanent archive page with the PDF.

What you provide

  • The run of show, with times if you have them
  • Every name and title exactly as it should appear
  • A bio of up to 120 words and a photo for each person
  • The welcome letter and the name of whoever signs it
  • Your logo, your brand colors, and sponsor logos with their links
  • Your giving and ticket links
  • One approver, the person whose yes is final
  • Permission to use every photo, logo and bio you send

Revisions, defined

A revision round is one consolidated list of changes from your approver, sent within 3 business days of a proof, and the Event Program includes 1 round while Signature includes 2.

Text edits, photo swaps, reordering, adding or removing people within your plan's limit, and color or emphasis changes within the design all count as a round.

Fixing our own mistakes never does, whether that's a typo we introduced, a broken link or the wrong photo.

We price new screens, people beyond your plan's limit, a new layout after approval, a second language or a second event separately.

Day-of safety

The night itself is where programs go wrong, so every order comes with these protections.

  • You sign off in writing on every name and title before the program goes live.
  • Content locks 72 hours before the event, and after that we only make corrections.
  • If a name's misspelled on the night, we fix it for free.
  • A second QR code opens the PDF version in rooms where the signal's weak.
  • The clock-driven "on stage now" marker stays off unless you ask us to turn it on.

Check your date

Tell us about the event and we'll reply within 1 business day with availability and either a payment link or an invoice, whichever your organization needs.

This form doesn't charge anything, and we'll only use your details to answer your inquiry.

What do you need?

Their name and role, for example the executive director or board chair

Questions organizers ask

Do guests need an app or an account?

They don't. Guests scan the QR code and the program opens in their phone's browser, so there's nothing to download and nothing to sign in to.

How long does the program stay up?

It's live and interactive for 12 months after the event, and that's included in the price. After that the same link becomes a permanent archive page with the PDF download, and if you'd like the full version to stay live longer it's $150 a year, opt-in.

Who owns it?

Your words, photos, logos and sponsor marks stay yours, and you get the PDF plus a permanent license to use, print, share and archive the finished program. Project Baseline keeps the engine and templates it's built on, and a small "Powered by Project Baseline" line stays in the footer.

How do revisions work?

The Event Program includes 1 revision round and Signature includes 2. A round is one consolidated list of changes from your approver, and we'll send it back within 2 business days. Fixing our own mistakes never counts against you, and name fixes on the night are always free.

What if we need to cancel?

The published Terms govern, and in short:

  • If we can't take your date, you'll get a full refund within 1 business day.
  • If you cancel before content work starts, you'll get a refund less the card processing fee.
  • Once content work starts there's no refund, but you can move to a new event date within 12 months, once, as long as the program hasn't gone live.
  • If we miss go-live through our own fault after your content arrived on time, you'll get a full refund.
Is it accessible?

Our target is WCAG 2.1 Level AA, which means strong color contrast, text that can be enlarged, labels screen readers can follow, and image descriptions written from the ones you give us. If your organization has its own accessibility requirements, tell us before you order so we can confirm what's needed.

What if the venue Wi-Fi fails?

The program doesn't depend on venue Wi-Fi at all. It's a light page that loads over a guest's own cell signal, and once it's open it stays readable on the phone. For rooms where the signal's weak, like basements and some sanctuaries, we add a second QR code that opens the PDF version, and the PDF is also a download on the program's cover.

Can we use our own domain?

You can. Your program can live at an address on your own website, like program.yourorg.org, once your IT person adds one DNS record, and we'll handle the rest. It's included with Signature and it's a $150 add-on with the Event Program.

Can we still print some copies?

Of course, and the PDF program book that comes with every program makes it easy to print a few for the head table or for guests who'd rather have paper.

How do we pay?

You can pay by card or ACH. If your organization pays by invoice after a committee or board vote, choose "Request an invoice" and we'll send one, with a W-9 if you need it.

Live features waitlist

We're building a Live edition for events that want the program to move with the room, with an "on stage now" marker run from the booth, audience questions sent from the program, and sign-up capture. It isn't for sale until it's been built and tested at a real event.

Join the list and tell us which of these you'd use, because that's how we'll decide what gets built first.
