Digital Event Program Privacy Notice
Project Baseline, Inc. | Effective October 23, 2026
This notice explains what information we collect through the Digital Event Program website and the event programs we build, what we do with it, how long we keep it, and how to ask us to delete it. It adds to the main Project Baseline Privacy Policy at project-baseline.com/privacy. If the two ever disagree about the Digital Event Program, this notice controls.
1. Who we are
1.1. The Digital Event Program is a product of Project Baseline, Inc., a Colorado corporation. In this notice, "we," "us" and "Project Baseline" mean Project Baseline, Inc.
1.2. Send questions or requests about your information to info@project-baseline.com with "Privacy" in the subject line.
2. What this notice covers
2.1. Our website: the Digital Event Program pages at digitalprogram.ai and any temporary address we use while that domain is set up, including the sample program and every form on those pages.
2.2. The event programs we build: the phone programs and PDF program books we make for our clients, wherever they are hosted.
2.3. In this notice, our "clients" are the organizations that hire us (churches, schools, theaters, cultural centers, nonprofits, conference hosts and other organizers). "Guests" are the people who open a program at an event. "Featured people" are the honorees, speakers, performers, clergy, sponsors and others whose names, photos or bios appear in a program.
3. What we collect on our website
3.1. When you fill in one of our inquiry forms ("Reserve your date," "Check your date," "Plan your season," "Talk to us" or "Request an invoice"), we collect what you type in: your name, email, phone number (optional), organization name and type, event name and date, expected attendance, the offer you are interested in, who approves the purchase, how you would like to pay, how ready your content is, and anything else you choose to tell us.
3.2. When you join the Live features waitlist, we collect your name, email, organization, event type and approximate date, expected attendance, and the features you want.
3.3. If you arrive by tapping a link, such as the "Powered by Project Baseline" line at the bottom of a program, the web address may carry short labels (called UTM tags) that say which program or campaign sent you, for example "utm_source=hwcc." We save those labels with your form so we know which program brought you to us. They describe the link, not you.
3.4. Our forms include a hidden spam-trap field that people never see and automated spam programs often fill in. It collects nothing about you.
3.5. Like every website, our hosting provider (Cloudflare) receives your IP address, browser type and the pages you request so it can deliver the page and block attacks. We do not use advertising cookies, tracking pixels or third-party advertising tools on these pages.
3.6. When purchasing opens, payments are handled by Stripe. We receive your name, email, the amount and a payment confirmation, and we never receive or store your full card or bank account number. After a purchase we ask for project details (event, venue, approver, links to your content) through an intake form.
4. What happens when a guest opens a program
4.1. Guests do not create an account, log in or download an app to view a program.
4.2. Programs do not count or track guests unless the client's package includes a view report and the client turns it on.
4.3. View reports are not turned on for any program today. Before one is, we will update this notice to list exactly what it records. The client will receive totals only, for example "412 people opened the program." We do not give clients a record of any individual guest's activity, and we never sell it.
4.4. Give, donate, ticket and registration buttons take guests to the client's own service, such as a giving platform, a ticket seller or the client's website. Those services have their own privacy policies. We never collect or process donations or ticket payments made through a program.
4.5. Some programs may later include a sign-up form so guests can join a mailing list, volunteer or ask for information. This is a planned feature and is not offered yet. When it is:
- (a) the client decides what is collected and how it is used, and the client is responsible for that information (the client is the "controller");
- (b) we collect and store the sign-ups only to hand them to the client (we are the client's "processor");
- (c) we do not use guest sign-ups for our own marketing, and we do not sell or share them;
- (d) we deliver the sign-ups to the client and delete our copy no later than 90 days after the event.
5. Featured people
5.1. The names, titles, photos, bios and logos in a program come from the client, and the client promises us it has permission to use them.
5.2. If someone under 18 appears in a program, the client must have permission from a parent or guardian. By default we show only a first name and last initial for minors, and no social media links.
5.3. We do not use face recognition, and we do not collect fingerprints, face scans or any other biometric information from photos or from guests.
5.4. If you are featured in a program and want something corrected or removed, contact the organizer or email us at the address in section 1.2. We will remove the item within 2 business days of a verified request and let the client know.
6. How we use information
6.1. To answer your inquiry, check our availability for your date, and send you a quote, invoice or payment link.
6.2. To build, deliver, correct and host the program you bought.
6.3. To send the client its view report, when one is included.
6.4. To learn which programs and links bring people to us, using the UTM tags described in section 3.3.
6.5. To keep our forms and programs secure and to stop spam and abuse.
6.6. To keep records the law requires, such as tax records.
6.7. If you join the Live features waitlist, to tell you when those features are ready. We will not add you to any other list without your permission.
7. What we do not do
7.1. We do not sell personal information.
7.2. We do not share personal information with advertisers or use it for targeted advertising.
7.3. We do not use your information, or a program's content, to train artificial intelligence models. We may use software tools, including AI tools, to help format and check a program, and a person at Project Baseline reviews every program before it goes live.
8. Who we share information with
8.1. We share information only with service providers that help us run this product, and only what each one needs.
| Provider | What it does for us | What it receives |
|---|---|---|
| Cloudflare, Inc. | Hosts the website and programs, stores website form submissions, and blocks attacks | Web traffic, IP addresses, and form contents |
| Google LLC (Google Workspace) | Email, forms, spreadsheets and file storage | Inquiry, waitlist and intake details; program content |
| Stripe, Inc. | Payments, when purchasing opens | Name, email and payment details |
8.2. We may also share information when the law requires it (for example, a court order), to protect someone's safety, or as part of a sale or merger of our business, as described in the main Project Baseline Privacy Policy.
8.3. Our full list of service providers is in the main Project Baseline Privacy Policy.
9. How long we keep information
| Information | How long we keep it |
|---|---|
| Inquiries that do not become orders | 24 months after our last contact, then deleted |
| Live features waitlist | Until the features launch and we tell you, or until you ask to be removed, and no longer than 24 months |
| Client order and payment records | 7 years, for tax and accounting records |
| Program content the client sends us (text, photos, logos) | 12 months after the event so we can rebuild next year's program, then deleted, except portfolio items the client allowed us to keep |
| The live program | 12 months after the event, longer if the client renews |
| The archive page after that (event name, date, PDF program book) | Kept online as a lasting record unless the client asks us to remove it |
| View report details (section 4.3) | 90 days after the event; after that we keep totals only |
| Guest sign-ups, when offered | Delivered to the client, then deleted no later than 90 days after the event |
| Security records kept by our hosting provider | Under that provider's own retention schedule |
10. Your choices and requests
10.1. You may ask us to show you, correct or delete the information we hold about you by emailing the address in section 1.2. We will confirm we received your request within 7 calendar days and complete it within 30 days. We may need to confirm your identity first.
10.2. Some information we must keep even if you ask us to delete it, such as payment and tax records. We will tell you if that applies.
10.3. If you signed up for something through a program, the organizer controls that list, so please ask the organizer first. If you contact us instead, we will pass your request to the organizer and delete any copy we still hold.
10.4. You can leave the Live features waitlist at any time by replying to any message from us or emailing us.
10.5. Depending on where you live, your state may give you more privacy rights. Contact us and we will honor the rights that apply to you.
11. Children
11.1. Our website is meant for adults who plan events. We do not knowingly collect information from children under 13 through our website or forms. If you believe a child has sent us information, email us and we will delete it.
11.2. Minors who appear in a client's program are covered by section 5.2.
12. Security
12.1. Our website and programs load only over encrypted connections (HTTPS). Proofs of a program are shared only with the client's named approver until the client approves it for the public, and access to client files is limited to the people working on that program.
12.2. No system is perfectly secure. If we learn of a breach that affects your information, we will tell you as the law requires.
13. Changes to this notice
13.1. We may update this notice, and the effective date at the top shows when it last changed. If a change affects how we use information we already hold, we will tell our active clients before it takes effect.
